For questions about privacy, please email info@nexxceo.com. When NEXXCEO processes personal data solely on behalf of a business client, that client is usually responsible for the purpose of that processing. The agreements regarding this are set out in the contract and, where necessary, in a separate data processing agreement.
2. Who does this statement apply to?
This statement applies to visitors of our website, people who fill out a form or contact us, prospects, business clients, client contact persons, suppliers, and other individuals with whom we have contact for our business operations. Business contact details, such as a name or personal business email address, are also personal data.
3. Which personal data do we process?
This depends on your contact with NEXXCEO. It may include your name, job title, company name, and business contact details; your phone number, email address, and the content of your message or request; information about contact moments, appointments, quotes, and projects; data necessary for service delivery, support, invoicing, and administration; information you provide yourself during an AI scan or other trajectory; technical data about your visit to the website, as far as necessary for operation and security; your language preference and your choice in the cookie banner. The contact form asks for name, company name, email address, phone number, and message. Do not include passwords, API keys, payment details, sensitive personal data, or other sensitive information that is not necessary for your inquiry.
4. What do we use your data for?
We use personal data to answer your questions and requests; to schedule appointments and maintain contact with you; to prepare quotes and execute agreements; to manage services, support, and customer relationships; to send invoices and maintain administrative records; to secure our website and systems; to improve our services; to inform you about relevant services, where permitted; and to comply with legal obligations. Filling out a contact form does not automatically mean you are signing up for marketing emails.
5. On what legal basis do we process data?
We only process personal data when there is a legal basis to do so. Depending on the situation, this is either the performance of a contract or the preparation thereof, a legal obligation, a legitimate interest — where we weigh our interest against your privacy — or consent. You can withdraw your consent at any time.
6. AI and automation
NEXXCEO uses AI and automation to support business clients. In doing so, we distinguish between data we process for our own business operations and data we process solely on behalf of a client. When we act as a processor on behalf of a client, we adhere to the agreements in the applicable data processing agreement and any additional agreements regarding AI and data processing. We do not use client data and personal data to train, improve, or develop our own AI models or general third-party AI models, unless explicit written agreements have been made beforehand. AI outputs may contain errors. Human review remains necessary for important business or personal decisions.
7. Who do we share data with?
We share personal data when necessary for our services or business operations. Depending on the contact, this may involve Framer, GoHighLevel, service providers for email, administration, hosting, IT and security, other parties for a specific assignment, and competent authorities. A button on our website may redirect you to Calendly to schedule an appointment. Calendly processes the data you enter there in accordance with Calendly's privacy policy. Where necessary, we make agreements regarding privacy and security with parties that process personal data on our behalf. We do not sell your personal data.
8. GoHighLevel and website activity
The website includes code to load GoHighLevel External Tracking once a visitor has given consent for Marketing. When this connection is active, GoHighLevel can process page views, campaign data such as UTM parameters, and submissions from supported forms, among other things. This data can be linked to a contact in our CRM. Additionally, the contact form can also be processed via Framer's own form function. Choosing to decline marketing tracking does not prevent us from processing a form you submit yourself to contact us.
9. Cookies and local storage
Our website uses a cookie banner that allows you to choose between Necessary, Preferences, Analytics, and Marketing. Your choice is stored in your browser so that the website can remember it. We also detected local storage for the selected language, for example English. Necessary and functional technologies may be required to keep the website running, remember a language preference, or record your choice in the cookie banner. For tracking that requires consent, we ask for your permission before deploying the technology in question. You can adjust your choice via the cookie settings on our website or delete stored cookies and local data via your browser. When we add new measurement or advertising services, we will update this statement and the cookie settings.
10. Transfers outside the EEA
When using digital service providers, personal data may be processed outside the European Economic Area. When this occurs, we ensure a valid basis for the transfer and appropriate safeguards in accordance with the GDPR. For external websites that you visit via a link, such as Calendly, the privacy statement of that provider also applies.
11. How do we secure data?
We take technical and organizational measures that match the data and the risks of processing. In doing so, we pay attention to access management, secure connections, and restricting access to individuals who need the data for their work. No digital system is completely without risk. Therefore, we evaluate and improve our measures whenever there is a reason to do so.
12. How long do we retain data?
We do not retain personal data longer than necessary for the purpose for which it was collected, unless a legal retention obligation or another valid reason requires a longer period. We retain contact requests for as long as needed to handle your inquiry and manage any follow-up appointments. We retain data concerning an assignment for as long as necessary for execution, administration, and settlement. For data subject to a legal administrative retention obligation, we comply with that legal term. Cookie and language preferences may remain in your browser's local storage until you change them, the website replaces them, or you delete your browser data.
13. What rights do you have?
You can ask us to access, correct, or, where possible, delete your personal data. Depending on the situation, you can also request a restriction of processing, object to certain processing, or receive your data in a portable format. If processing is based on your consent, you can withdraw that consent at any time. This does not affect the lawfulness of the processing prior to its withdrawal. Please send your request to info@nexxceo.com. To prevent data from falling into the wrong hands, we may ask you to verify your identity in an appropriate manner.
14. Questions or complaints
Do you have a question about this statement or the processing of your data? Email info@nexxceo.com. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
15. Changes
We may update this privacy statement if our website, services, or processing of personal data changes. The current version will always be published on nexxceo.com. In the event of material changes, we will inform those affected where necessary.
